We are looking to recruit a Club Administrator to join our team at the Bugatti Owners' Club, owners and operators of Prescott Speed Hill Climb.


The role of Club Administrator is a varied, busy and challenging role suited to an individual who is ambitious, forward thinking, innovative and pro-active in their approach to work. Weekend working will be required for events where the successful candidate will be required to multi-task and problem solve. An interest in motoring is helpful, but not a requirement, with efficiency and good organisational skills more desirable.

CLUB ADMINISTRATOR

OVERVIEW

To provide support for the General Manager in all aspects of the running of the Bugatti Owners’ Club and the Estate at Prescott Hill Climb. The Bugatti Owners’ Club, owners and operators of Prescott Speed Hill Climb, are one of the oldest and most prestigious car clubs in the country. The BOC specialises in running hill climb competition events and welcomes thousands of car and bike enthusiasts to their hill, based near Cheltenham, each year.


To provide administration support for Competition Events

o Processing Entries

o Providing support for the clubs Chief Marshal

o Administration of Media Registrations

o Event Paperwork Preparation


To provide administration support for Drivers Schools

o Preparing for the Drivers Schools within the guidelines of AHASS

o Administration and booking for participants, marshals and special services as required


To provide administration support for Corporate Hire Events

o Venue hirer liaison

o Service booking


To provide administration support for The Clubhouse and onsite catering outlets for both internal BOC events and external private hire events, including

o Diary Management

o Assisting with liaison with hirer

o Assisting with liaison with third-party caterers

o Assisting with the delivery of events hosted within the Clubhouse


To provide administration support for Regalia

o Overseeing volunteers manning the shop

o Processing online orders

o Updating product lines on the Club Website

o Work in the shop if required

o Manage stock levels, including regular reporting and stock checks


To provide administration support for Membership

o Daily administration of Membership renewals and new member enquiries

o Maintenance of the Membership database

o Preparation of Membership Packs

· To provide administration support for Bugatti Spares Sales

o Processing orders

o Updating product lines on the Club Website

o Manage stock levels, including regular reporting and stock checks


General Administrative tasks, including but not limited to

o Daily Post

o Emails

o Telephone Answering

o Trade Stands

o Charity Vouchers

o Christmas Cards


To provide administration support for booking onsite services required for running events and venue maintenance, such as ambulances, timekeepers and rescue units or tree surgeons, skip hire and cleaners

· To provide administration support for in the production of Newsletters, either printed or digital as required

· To attend and assist with delivery of events, solving problems and assisting other staff and volunteers

· To assist with website updates, managing online ticket sales, social media, PR and marketing

· All other duties as reasonably required by the Club


This role is full time (Mon – Fri, 9am – 5pm) based at Prescott Hill Climb near Cheltenham with a competitive salary and holiday package.
